Document Management
The CrewHub.pro document management system provides a simple, role-based interface for uploading and managing documents related to job orders, workers, and agencies.
Overview
The document system allows you to upload files and associate them with specific document types. The interface consists of two main sections:
- DOCUMENTS - Standard document types for your role and context
- OTHER DOCUMENTS - Additional documents that don't fit standard categories
Document Interface
Main Documents Table
The documents are displayed in a data table with the following information:
- Document Type - The category/type of document
- File Name - Original name of the uploaded file
- File Type - Format of the file (PDF, DOC, etc.)
- File Upload Date - When the document was uploaded
- File Create Date - When the file was originally created
- File Modify Date - When the file was last modified
- File Size - Size of the document file
Available Actions
For each document, depending on your permissions, you can:
- View - Preview the document (PDF viewer for supported formats)
- Modify - Replace the document with a new file
- Delete - Remove the document entirely
Adding Documents
Upload Process
- Click "Add Document" button above the documents table
- Select Document Type from the filtered dropdown
- Only document types you have permission to add will be shown
- Search through available types using the filter
- Choose File directly in the dialog
- Supports PDF, Word (DOC/DOCX), RTF, and image formats
- Maximum file size: 100MB per document
- Upload - Click "Upload Document" to complete the process
Document Type Selection
The system automatically filters document types based on:
- Your Role (Site Admin, Employer, Employee, Agency, etc.)
- Current Context (Job Orders, Individual Workers, Agencies)
- Permission Levels (what you can view vs. what you can modify)
Supported File Formats
- PDF - Portable Document Format (recommended)
- DOC/DOCX - Microsoft Word documents
- RTF - Rich Text Format
- Images - JPG, JPEG, PNG, and other image formats
Permission System
Role-Based Access
Your access to document types depends on your role:
- Site Admin - Full access to all document types
- Employer - Access to employer-specific documents
- Employee - Access to employee-specific documents
- Employer Agency - Access to employer agency documents
- Employee Agency - Access to employee agency documents
Context-Aware Filtering
Document types are further filtered based on the current context:
- Job Orders - Shows job order specific document types
- Agencies - Shows agency-specific document types
- Individual Records - Shows person-specific document types
Modification Rights
Separate permissions control whether you can:
- View existing documents
- Add/Modify documents
- Delete documents
Document Categories
Standard Documents
These are predefined document types specific to your role and context. Examples might include:
- Employment contracts
- Identification documents
- Certification documents
- Compliance paperwork
Other Documents
A special category for documents that don't fit into standard types. This allows for:
- Custom document uploads
- Miscellaneous paperwork
- Additional supporting documents
Technical Specifications
File Limits
- Maximum file size: 100MB per document
- No bulk upload limits - Upload documents one at a time
- No archive support - Upload individual files only

- Modern browser required for document preview
- JavaScript enabled for full functionality
- PDF viewer support for document preview feature
Troubleshooting
Common Issues
Cannot Add Documents:
- Verify you have permission to modify documents
- Check that you're in the correct context (Job Order, etc.)
- Ensure the job status allows modifications
Document Type Not Available:
- Document types are filtered based on your role and permissions
- Contact your administrator if you need access to additional document types
Upload Failures:
- Check file size (100MB maximum)
- Verify file format is supported
- Ensure stable internet connection
- Try clearing browser cache
Cannot View Documents:
- Ensure you have view permissions for the document type
- Check that your browser supports PDF viewing
- Verify the document was uploaded successfully
